Features
Everything in ChurchVex, plainly described
This is what ChurchVex does today. Every feature is included on every plan, including the free trial.
Members and visitors
One tidy record for every member and every first-time visitor — no more exercise books.
- Member records with contact details, baptism and confirmation dates, emergency contact and notes
- Search by name, member number or phone number
- Log first-time visitors, record follow-ups, and convert a visitor to a member when they're ready
- A senior members register — everyone at or above the age you choose, oldest first, for pastoral visiting
- Birthdays list, member transfers between churches, and an export of your member list (CSV)
Attendance and check-in
Check people in by QR code, at a kiosk, or by hand — and see who was missing.
- Open a session for a service or meeting, then check members in
- QR check-in — members scan a code with their own phone and enter their member number or phone number, no login needed
- Kiosk mode — a tablet or laptop at the door where ushers search and tap to check someone in
- Manual check-in from the session page, with a live present and absent list
- Department sessions for a department's own meetings
- Attendance reports and trends
Tithes, offerings and finance
Record tithes, offerings and expenses, run dues and campaigns, and see the totals.
- Record tithes against a member (or a named person who is not a member yet) and offerings (named or anonymous), with envelope numbers if you use them
- Record expenses against your own categories
- Welfare and department dues — the digital replacement for the welfare book — with arrears and member statements
- Dues are kept as restricted funds, reported apart from church income, so the income figure is tithes and offerings only and every report shows how the two add up
- Fundraising campaigns, with progress shown against a target if you set one
- Online giving by mobile money or card (Ghana), processed by a licensed payment provider — card and mobile money details never reach ChurchVex
- Recording money takes the Treasurer or Senior Pastor role, so who handles the church's money is a decision you make
Online giving by mobile money or card is available to churches in Ghana today, with more countries to come. Everything else here — recording, dues, campaigns and reports — works wherever your church is, in your own currency.
SMS and email
Send SMS and email to the whole church, a department, or chosen numbers — and see the cost first.
- SMS and email to all members, a department, or specific phone numbers
- Your church's own SMS sender name (subject to approval)
- Automated messages — birthday greetings, dues reminders, the weekly service and events SMS and more — each with its own on/off switch, showing how many members it reaches and what it costs
- Pastoral messages wait for your church's sending hours (by default 8am to 7pm, not on Sundays), and members can opt out
- Reusable message templates and a log of every message sent
SMS is paid for with credits your church buys in ChurchVex.
Departments and ministries
Give every department — choir, ushers, youth, women's fellowship — its own space.
- Departments with members, heads and sub-groups
- Department attendance sessions, department dues and a chat channel for each department
- Age bands for children's and youth ministries — new members are placed by age, and when someone grows out of a band ChurchVex suggests the move for a leader to approve. No one is moved automatically.
Membership certificates
Issue a proper membership certificate, in your church's name and style, in a minute.
- Three certificate designs, with your logo, in a choice of six colours and three typefaces
- The certificate states the member's offices and departments, in your denomination's own titles
- Former members receive a certificate of former membership with the period they belonged
- Every certificate carries a reference your church office can look up to confirm it is genuine
- Issued by church staff only
Reports and PDF exports
Every report screen prints to a branded PDF that matches what you see.
- Finance reports — weekly, monthly, annual and by department — with restricted funds shown apart from income
- Attendance, events and asset reports
- A PDF of any report screen, with your church's logo, who produced it and when — it always shows exactly what the screen shows
- CSV exports for members and attendance; PDF receipts and member dues statements
District, regional and national oversight
For denominations — leaders see the churches under them, in the denomination's own words.
- Set up the way your denomination is organised, using its own titles — a Methodist church sees a Circuit and a Circuit Superintendent, not a District and a District Pastor
- Leaders get an overview of the churches under them; each office holder sees only what their office allows
- Reports from local churches, and announcements sent down to them
- Handovers are recorded: when an office changes hands, the previous holder's access ends at once
Events and registrations
Publish events, take registrations, and remind people before the day.
- Create events and see them on a list or a calendar
- Members register; you approve registrations and mark who attended
- Reminders before the event, by SMS and in the app
Also included
On every plan, alongside everything above.
-
Church chat
Talk as a whole church, as a department, or one to one — without a WhatsApp group.
- Church-wide channels
- A channel for each department
- Direct messages between members
-
Notifications
The right people hear about the right things, inside ChurchVex.
- An in-app inbox that updates live while you're signed in
- Rules for who is notified about what
- Birthday and announcement notifications
-
Assets and consumables
Know what the church owns, where it is, and when it needs servicing.
- An asset register with categories, including a printable register
- Consumables with low-stock alerts
- Maintenance schedules with reminders when servicing is due
-
Issues and support tickets
Report a problem inside the church, or ask the ChurchVex team for help, from the same place.
- Staff can log and track issues for the church to resolve
- Church reports sent up to your district or region
- Ask ChurchVex support for help without leaving the app
-
Branches and multiple campuses
A branch shares summaries with its mother church only by consent — only what it chooses, and never individual records.
- Invite a church in your denomination to link as a branch
- The branch chooses exactly what to share — membership, attendance, finance and department summaries, or its events calendar
- Summaries only — never a member's record, and never who gave what
- The branch can change or stop sharing at any time
Branch linking is switched on per church by the ChurchVex team — ask us if your church has branches.
-
Security and access
Each church's records are kept separate, and every person sees only what their role allows.
- Each church's data is separated from every other church's
- Roles such as Senior Pastor, Church Admin, Secretary and Treasurer decide who can see and do what
- Two-factor sign-in with an authenticator app
- Strong passwords, and accounts lock for 15 minutes after repeated failed sign-ins
- An audit log of changes, and a list of active sign-in sessions you can end
